
Integrating the Rotary Youth Exchange (RYE) program into your club can bring unique and exciting experiences to both your club and its members! While the Rotary RYE initiative is coordinated at the district level under the supervision of the district governor, its success relies on the active participation of Rotary clubs, Rotarians, their families, and others in the community to create an effective support system for sending and hosting students.
Assign a Club YEO for the rotary rye program, assign a Club Counselor, verify High School placement, and submit the Club Participation Form.
Recruit students to apply through Rotary Rye, interview students, and select a student. Additionally, recruit volunteers and host families to support the initiative.
Identify a Youth Exchange Officer for your club to ensure they become an approved volunteer for the Rotary RYE program. Additionally, appoint a Counselor for your club and ensure they also become an approved RYE program volunteer. Participate financially in the Rotary RYE program by paying the District fee in July. Coordinate your club's Youth Exchange activities with the district program, ensuring compliance with RI and district policies such as the Youth Protection Plan and the RYE Youth Protection Plan. It's crucial that your Youth Exchange Officer attends district Youth Exchange meetings. Establish clear expectations for students and ensure that they attend mandatory functions, including RYE orientations and the district conference. Gather feedback from students to facilitate program modifications and promptly notify the district Youth Exchange chair about any student issues or concerns.
Promote the Long Term Exchange Program (“LTEP”) and the Short Term Exchange Program (“STEP”) to students and prospective host families in your community, particularly those connected with rotary rye. Interview and select candidates to nominate for either the LTEP or the STEP while maintaining contact with the district outbound coordinator.
Establish and develop contact with inbound students before they arrive through the rotary rye program. Meet students at the airport or train station. Ensure each inbound student has a counselor who is neither their host parent nor the student’s Youth Exchange Officer. Coordinate the selection and orientation of host families within the rotary rye initiative and maintain contact with host families throughout the student’s exchange. Ensure host families are in a fully approved status before a student is placed with the family. Maintain contact with the district inbound coordinator. Arrange disbursement of the monthly stipend to the LTEP students.
Collect general information from interested Rotary Rye members regarding their support for a NGSE participant. This includes details such as occupation and the position they are offering to the participant, whether it be an internship, job shadowing, or volunteer role. Inform the district of your interest in hosting a NGSE participant and ensure that there is adequate support for the program, including budget, accommodation, and volunteer or work opportunities.
The Club President of Rotary Rye appoints the club's Youth Exchange Officer (YEO). The president also oversees the selection of the club committee and supports Rotary Rye’s Youth Exchange activities.
The Rotary Rye Club Youth Exchange Officer (YEO) plans, implements, and supports all activities involving sending and hosting long-term and short-term exchange students.
The Rotary Rye Club Youth Exchange Counselor provides additional support to the inbound student. The club counselor is typically the first person a student comes to when there is a problem.
Host families do not have to be Rotarians! While the Rotary Rye district helps recruit host families, local clubs understand their community and can play a key role in finding host families for their inbound students.
Additional volunteers help elevate the program and experience for the students involved in Rotary Rye! This could mean your club establishes a Youth Exchange Committee or collaborates with a local Rotex or Rotaract club.
